What would a Clinical Staffing Specialist's Responsibilities be?

*includes but is not limited to* 

  • Acts as the point person and lead for all matters related to scheduling staff, including initial scheduling with buildings after orientation is completed and staff member is cleared by human resources.
  • Thoroughly understands and uses the master staffing schedule extensively in order to understand vacancies that can be filled by FT/PT ESS staff.
  • Complies and sends out to staff open needs on a weekly basis and when requested
  • Reviews monthly hours logged in Kronos to ensure all staff are meeting minimum monthly requirements based on status.
  • Prepares daily staffing sheets with continual revisions as necessary.
  • Maintains accurate logs of assignments, per diem pick ups, & buildings individuals are cleared to work at. 
  • Attendance tracking

Responsibilities

  1. Acts as the point person and lead for all matters related to scheduling staff.
  2. Thoroughly understands and uses the master staffing schedule extensively.
  3. Uses multiple staffing tools intricately and possesses an in-depth understanding staffing to census expectations.
  4. Troubleshoots and effectively problem-solves staffing complexities with minimum supervision.
  5. Maintains regular, consistent communication with ESS & Agency Program Manager to ensure coordination of staffing.
  6. Maintains accuracy of nursing schedule in Kronos and all required tracking.
  7. Prepares daily staffing sheets with continual revisions as necessary.
  8. Follows company policies for staffing as well as budgeted guidelines for assignment of staff.
  9. Completes a listing of vacant nursing positions for weekly distribution.
  10. Schedules staff time off requests according to established guidelines and the ESS & Agency Program Manager's approval/direction.
  11. Ensures at least one other staff member is trained on the Staffing Specialist’s position in the event of vacation, sick leave, vacancy, etc.
  12. Identifies critical or difficult to fill positions/shifts and takes proactive action to balance the schedule.
  13. Reviews daily exception logs for payroll and assists with payroll preparation for the nursing and nursing admin department.
  14. Communicates regularly with agency contacts and maintains positive, proactive business relationships.
  15. Collaborates with human resources & ESS & Agency Program Manager regarding policy implementation, compliance for new staff (both internal and agency) and properly communicates all staff requests (e.g. status changes).
  16. Displays professionalism and ability to work in a high volume, fast-paced environment.
  17. Communication expert with the ability to approach staff easily, form strong relationships and persuade staff to assist in times of need.
  18. Consistently demonstrates fairness and impartiality in accordance with company scheduling/staffing practices.
  19. Utilizes electronic timekeeping system as directed.

 

Qualifications

  • Minimum of Associates degree (Bachelors preferred)
  • Minimum of six (6) years of related experience in a high paced environment preferably in staffing/scheduling or operations
  • Proficiency in Microsoft Excel
  • Prior experience with scheduling platforms, specifically Kronos, strongly preferred
  • This position requires regular interaction with residents, coworkers, visitors, and/or supervisors. In order to ensure a safe work environment for residents, coworkers, visitors, and/or supervisors of the Company, and to permit unfettered communication between the employee and those residents, coworkers, visitors, and supervisors, this position requires that the employee be able to read, write, speak, and understand the English language at an intermediate or more advanced level.
