Unit Clerk Position Overview:

Unit Clerks play a vital role in supporting the health and well-being of residents by providing essential administrative assistance. This position is responsible for:

  • Coordinating proper placement of documents in Medical Records

  • Performing secretarial duties for the assigned unit

  • Assisting with inventory and requisitioning of nursing supplies, forms, and stock medications

  • Scheduling various appointments, including laboratory and diagnostic tests

Responsibilities

Unit Clerk Responsibilities:

  • Audit Medical Records of residents on assigned unit for proper order, completeness, and “thinning” of charts.

  • Close Medical Record following hospitalization or permanent discharge of residents.

  • Perform other medical record procedures under direction of the Unit Manager.

  • Uphold all rules related to protection, safekeeping, and confidentiality of resident information.

  • Assist Medical Records Coordinator with preparation of Admission/Discharge Summary forms.

  • Type organizational lists and perform secretarial functions for the unit, including answering phones.

  • Distribute mail to residents and staff of the unit.

  • Answer call light signals, directing or assisting as appropriate.

  • Coordinate preparation of forms and documents needed periodically for Medical Records, Treatment Books, Resident Care Planning meetings, and MDS assessments (e.g., aide assignment sheets, ROM/Ambulation Records, skin and behavior records).

  • Coordinate collection of information from all disciplines for Inter-disciplinary Discharge Summary and ensure timely distribution to appropriate destinations.

  • Inventory and requisition supplies needed on the nursing unit, including treatment supplies and printed forms, as assigned.

  • Schedule Podiatry and Dental Consultant appointments for residents; assist with scheduling influenza vaccinations if applicable.

  • Maintain lab report schedules for admission, routine, annual, or special needs of residents; complete appropriate forms and schedule lab draw appointments.

  • Assist in obtaining statistics for nursing monthly reports and annual surveys by the New York State Health Department.

  • Maintain up-to-date listing of physician visits and notify attending physicians of due dates for visits, as required.

  • Photograph residents upon admission and place pictures in Medication Book.

  • Assist with obtaining room labels for resident rooms.

 

Qualifications

Unit Clerk Qualifications:

  • Minimum 16 years of age required; high school diploma or equivalent preferred.

  • Employment Certificate/Permit required for applicable individuals.

  • Office practice skills necessary.

  • Knowledge of medical records processing preferred but not required.

  • Attention to detail and accuracy in work required.

  • Personal qualities of tact, dependability, and a caring, compassionate attitude toward residents.

  • Understanding of the need for confidentiality and discretion in processing resident information.

  • Basic understanding of medical terminology and accepted abbreviations.

  • This position requires regular interaction with residents, coworkers, visitors, and/or supervisors. In order to ensure a safe work environment for residents, coworkers, visitors, and/or supervisors of the Company, and to permit unfettered communication between the employee and those residents, coworkers, visitors, and supervisors, this position requires that the employee be able to read, write, speak, and understand the English language at an intermediate or more advanced level.
