The Clinical Scheduling Specialist generates, manages and updates master schedules for the nursing department while making adjustments as needed according to budgetary constraints, census fluctuations, attendance tracking, benefit accrual entries, and leaves of absence.

Responsibilities

Clinical Scheduling Specialist Responsibilities:

  • Point person and lead for all matters related to scheduling staffing.
  • Understand and use the master staffing schedule extensively.
  • Use multiple staffing tools intricately and have an in-depth understanding staffing to census
  • Able to problem solve staffing complexities with minimum supervision
  • Understanding of PPD metric and how to staff to the metric
  • Regular communication with DON/ADON to ensure coordination of staffing and maintain accuracy of nursing schedule
  • Prepare daily staffing sheets with continual revisions as necessary
  • Follow corporate policies for staffing as well as budgeted guidelines for assignment of staff
  • Complete a listing of vacant nursing positions for DON weekly
  • Schedule staff vacations according to established guidelines and the DON/ADON's direction
  • Ensure at least one other staff member is oriented on the scheduler’s position in the event of vacation, sick leave, etc.
  • Identify hard to fill roles and take proactive actions to balance the schedule
  • Respect the confidentiality and dignity of staff and residents
  • Review daily exception logs for payroll and assists it payroll preparation for the nursing and nursing admin department
  • Ensures all new employee orientation schedules are on staffing sheet.
  • Communicates regularly with agency contacts and maintains positive, proactive business relationship
  • Must have the ability to work independently, handle pressure, multi-task and prioritize. Must enjoy working in a fast-paced environment.

  • Performs other duties as assigned by supervisor or management staff

Qualifications

Clinical Scheduling Specialist Qualifications:

  • Minimum of Associates degree (Bachelors preferred)
  • Minimum of six (6) years of related experience in a high paced environment preferably in staffing/scheduling or operations
  • Proficiency in Microsoft Excel
  • Prior experience with scheduling platforms, specifically Kronos, strongly preferred
